FEES

A rate actually quoted will depend on the type of shoot, what the images are required for, equipment and facilities required. The amount of production input required will also be taken into account, the number of days and the amount of ongoing work offered. Please bear in mind that additional time is required to digitally process most images after a shoot. Depending on the number of images taken, this could take half a day or longer per days shooting. As a guide for a day’s shoot of around 500/600 images for an event/conference, from which you might expect 300 images, you should factor in another half of a day for selecting and processing, creating a gallery and uploading for viewing, then burning to disc and posting. For hotels and restaurant photopgraphy this could also be around half a day.

Reasonable travel within Edinburgh and surrounding area will be included and for further afield there will be charges for travel time and travel costs. Where overnight accommodation is required this should be provided by the client or other accommodation cost agreed in advance. Reasonable subsistence will also be covered by the client.

TERMS

Costs for web imagery and brochure work will be similar to that above but images for large runs of print material may carry a further fee.

Licence fees paid for a project give the client the right to use those pictures for 2 years for web use and for the print it is for the specific job quoted.

The copyright of all material shot is owned by Simon Williams. Images may be used by Simon Williams for promotional work for the business.

A good range images from the shoot, as selected by Simon Williams, will be viewable on line from which images can be selected. Images chosen will be burned to disc and posted by Registered First Class post by a pre agreed date for the project.

Cancellation. If due to unsuitable weather then another date can be agreed providing the shoot is cancelled prior to departure to the shoot location. A second cancellation due to weather, whether prior to departure or once at the shoot, will incur a 50% fee unless 48 hours notice is given by the client prior to departure for the shoot. For other reasons, the following apply: For cancellation between 7 and 14 days prior to the day of the shoot a fee of 50% will be charged. Less than a week prior and the fee will be 100%. Any costs incurred by the photographer whether paid or due to a third party will be charged to the client. The client will be responsible for any costs of services booked by them and cancelled due to the photo shoot cancellation.

Reproduction. The license to use images is limited to the client direct or its agent, for web use, print, PR purposes or internal purposes. Client's agents MAY NOT sell images on, make commercial gain or use images out with the reason for the shoot.
Images may not be altered or manipulated by any technique, or reproduced as part of a picture in whole or in part, or as a montage with another picture, without Simon Williams written permission.

Reasonable care is taken to correctly identify and name images if appropriate. There will be no liability for loss or damage incurred by the Client or any third party caused by any such errors. While all reasonable care is taken in the performance of this agreement there will be no liability for any loss or damage suffered by the Client or by any third party arising from use or reproduction of any picture or its caption/name.

Simon Williams Photography makes no claim or warranty as to the existence or validity of model or other releases in respect of the pictures or as regards the reproduction by the Client of any names or trade marks depicted in the pictures, unless specified in writing,. The Client will satisfy himself that all necessary rights, releases or consents required for reproduction have been obtained. Model and Building Release Forms are available on request.
Invoices will be paid within 30 days of issue.

Public Liability Insurance is through Hiscox Business Insurance.
